FF&E art supplier for hotels, quoted line by line from the spec

iHomeArt supplies hotel FF&E artwork to procurement agents, hotel purchasing companies and fit-out contractors: original canvases, hand-painted to the size, palette and finish on each spec line. As an FF&E art supplier we quote every line of your RFQ separately, price an alternate wherever the budget is tight, and deliver each piece labelled by line item and room to your consolidator, warehouse or site.

The FF&E art line at a glance

  • Labelled packsEvery piece marked with its line item, room and floor, with a packing list per batch

What does an FF&E art supplier need from your RFQ to quote every line?

The art lines as they sit in your specification: line number, location, spec image or code, size, finish and quantity, plus where and when each batch has to arrive.

Send the art pages of the spec book as they are, PDF or spreadsheet. Your line numbers stay on every document we send, from quote to packing list, so our paperwork drops straight into your tracker.

On your RFQ lineOn our quote line
Line number and locationThe same, unchanged

Size and finishCanvas size in cm and inches; rolled, stretched or framed, with the frame colour

Shipping sits on a line of its own, priced by route, so your bid tab compares painting with painting. Give us the RFQ close date and send the schedule through the quote form, on WhatsApp or by email.

One vendor or several: how should artwork for hospitality projects be split?

Give the painted canvases to one vendor when the spaces share a palette and an install sequence, for one PO, one set of submittals and one delivery chain; leave sculpture, mirrors and wall murals with their specialists.

On most hotel schedules the canvas lines fall into four groups, each with its own logic:

Guest rooms
The high-quantity lines: one or two sizes per room type, often a family of related works rotated by floor (see hotel guest-room programmes).
Corridors
Tall verticals between the doors and a larger piece in each lift lobby, ordered floor block by floor block (see corridor series).
Lobby
One or two oversized canvases sized from the finished wall, often the last line released: browse lobby works.
F&B and spa
Short runs to the concept designer’s brief: restaurant and bar and spa works.

All four count towards volume pricing as one order. Gulf packages have their own page: GCC hotels and palaces.

Can the spec image be matched when it comes from another vendor’s catalogue?

Yes, in one of three ways, and each quote line says which: the nearest catalogue work painted to the line’s size and palette, a hand-painted reproduction, or a new piece painted from the designer’s own image.

Spec images often come from a stock library or another vendor’s range, and may not exist at the size on the line. Because every work here is painted to order, a match is a brief, not a search for stock.

  • Nearest catalogue work. We shortlist from some 1,300 ready designs, then resize the closest to the line and recolour it to the scheme’s fabric, paint or stone. The usual route, and the quickest to approve.
  • Reproduction. A particular painting can be reproduced by hand; a work still in copyright needs its rights holder’s permission first.
  • From the designer’s image. A render, a city photograph or a crest painted as an original: see paintings from your own image.

Where the spec allows an approved equal, we offer one beside the exact match, priced on its own line; where a line is open, we can design the art with the designer, as far as the budget and brief call for.

The FF&E budget has been cut: how can the art line be value-engineered?

By changing how the art is made and shipped rather than what the designer chose, with each change priced as an alternate beside the original line.

Ask for alternates with the RFQ and the bid tab shows each saving line by line, so the designer accepts or declines without a re-tender. The big savings sit in the guest-room and corridor lines, where one change repeats a hundred times.

What submittals should an FF&E art supplier send before release?

A submittal sheet for every line, a full-size sample of the lines that matter most, and stage photos of every piece once the run is on the easel.

Name one approver per line, with a deputy, and tell us how long each review takes; the batch dates in the quote allow for it.

  1. Submittal sheetsOne per line: picture and code, size in cm and inches, medium, finish and frame, ready for your submittal log.
  2. Sample piecePainted at full size in the run’s finish. With a one-piece minimum it is simply the first order, and it does the job of a strike-off.
  3. Designer and owner’s repThe sample hangs in the model room for the designer’s approval and the owner’s representative’s sign-off.
  4. PO and releaseThe approved sample becomes the reference; you release the line, whole or in batches, against our proforma invoice.
  5. Stage photosEvery piece is photographed at each stage, and the next stage starts once your named approver says yes.

Will hotel FF&E artwork arrive by the required-on-site date?

Yes, when the line is released with its dates: each batch has its own delivery date in the quote, set against your install programme and its route.

Art is usually the last FF&E line released, so it carries the least float. Work back from each floor’s required-on-site date:

Batches
Split in your install sequence, floor by floor or zone by zone, each with its own date.
Reviews
A stage photo waiting a week for a reply holds its batch by a week, so build review days into the dates.
Route
Express for the sample and small batches; air or sea freight for a large consignment when the programme has room.
Margin
Land the last batch a couple of weeks before installation, so anything that needs putting right is sorted before handover. Each consignment ships with a tracking number.

How is hotel art packed and labelled for the consolidator?

Piece by piece, in your line numbering, so a warehouse can receive, store and stage it without opening a box.

Tell us at order stage how your consolidator or installer wants packs marked. A typical label reads:

Project · PO number · Line AR-04 · Floor 5, between rooms 512 and 514 · WA#162 · 122 × 61 cm · stretched · box 14 of 36

  • A packing list per batch, in label order, so receiving is a tick-list.
  • Grouped by floor or zone on request, so each carton set goes to one part of the building.
  • Rolled lines travel in tubes, each canvas labelled with its line item for the framer.
  • Framed lines are boxed one to a box, with corner protection and hanging hooks.

Consolidator, forwarder or site: where should each batch ship, and in what finish?

Wherever your logistics plan says: each batch ships to the consignee you name, in the finish that suits what happens to it next.

ConsigneeUsual finishWhy
Consolidator or forwarder’s warehouseStretched or framed, boxedStaged with the room’s other FF&E, then trucked to site ready to hang
A framer near the projectRolledLowest shipping cost; the framer finishes the canvases and delivers
SiteFramed with hooks, or stretchedInstallers hang from the box

Lines can go to different consignees on one order, in a different country from the buyer. We book the carrier for each batch and confirm the cost before dispatch; route options are on the logistics page.

If a pack arrives damaged, the receiving party notes it on the delivery receipt and photographs pack and piece. Send us the photos: we pursue the claim with the carrier and agree a fix with you, such as a replacement or a refund. It seldom comes to that; our return rate is under 0.01%.

What happens when the spec changes after the PO?

Lines not yet painted can change size, colourway, finish, quantity or consignee; we re-issue the quote for the changed lines only, and the rest of the order keeps its dates.

A room type is re-planned, a wall shrinks once the joinery is drawn: what a change costs depends on where the line stands.

Not started
Change anything. The revised quote carries a revision number and marks the changed lines.
On the easel
A correction at a stage photo is made before the next stage. A new size means painting the piece afresh, priced as a new line.
Approved
A piece approved from its final photograph is final. Extra rooms or a new room type are added against the same codes and painted to match.

What changes when a fit-out contractor buys the art against a provisional sum?

Little in how the order runs; what you need is a quote that reconciles with the allowance, delivery to site in your programme week, and paperwork that becomes the art register at handover.

  • Against the allowance. The line-by-line quote prices painting, shipping and any local framing separately, so the QS can set each against the provisional sum before the order is placed.
  • Delivery to site. Give us the address, receiving hours, any loading-bay booking and a site contact.
  • Ready for the installers. Framed pieces come boxed with hooks and labelled by room, so hanging can follow the floors.
  • Handover. For the O&M file, the order confirmation lists every line with location, code, size and finish, and you hold the approved final photograph of each piece: together, the art register.

In a three-quote comparison ours arrives as a priced schedule, not a lump sum. See also our trade terms.

Hotel art procurement: questions buyers ask before the PO

How should hand-painted art be described in an FF&E specification?

As original hand-painted artwork: acrylic on canvas as standard, or oil on request, with the canvas size, the finish and, if framed, the frame colour. Add our code where you have one, for example “iHomeArt MA#067, 91 × 61 cm, rolled”. Nothing is printed, so every piece on the line is an original, painted for your order.

Can we add attic stock to the art order?

Yes. Add spares to any line as extra quantity, painted with the run and labelled as spares, so housekeeping has a canvas ready when one is stained or damaged. Because every piece is painted to order, spares can also be ordered years later from the line’s code and its approved final photograph.

Can the art line include frames, or only the canvas?

Either, line by line. Each line can be rolled canvas for a framer you appoint, stretched ready to hang, or framed in gold, silver, black, white or wood and boxed with hanging hooks. 3D plaster and deep relief travel stretched or framed only, unless a thinner texture is agreed, so the guest rooms and the lobby can carry different finishes on one order.

Is volume pricing counted per line or across the whole art package?

Across the whole order. Volume pricing starts at 10 pieces and counts every line together, so one lobby canvas, three restaurant pieces and 96 guest-room pieces all sit in the same tier. A line of one piece is quoted as gladly as a line of a hundred.

Can you be the painting vendor behind our hospitality art consultant?

Yes. An art consultant can curate the collection and keep the relationship with the designer, then place the painting with us; the quote can follow their numbering, and stage photos go to whoever approves. Consultants who work this way have their own page: hospitality art companies.

What if the designer rejects a piece at a stage photo?

The painter puts it right before the next stage starts, which is what the stages are for: a colour or a line that drifts is corrected on the easel, long before shipping. Say what is wrong in words or mark up the photo. Once the final photograph is approved, the piece ships and is final, so the stages are the place to ask for changes.
